Location: Remote, mainly UK based, as travel to our London hub will be required once a month.

We now live in a remote-first world where realtime digital interactions underpin our daily lives. In the near future, Autonomous Vehicles, IoT devices (e.g. connected fridges or environment sensors), and AI-powered experiences will be the norm. But new infrastructure is required to power it all.

The opportunity in front of us is immense. Our mission is to become the definitive realtime infrastructure of the internet while powering and accelerating adoption of realtime user experiences. We’re on track. Everyday we deliver billions of realtime messages to more than 250 million people in 80 different countries across web, mobile, and IoT platforms. But we can’t rest yet. In five years we want to reach one billion people everyday.

In this role

We’re looking for an Executive Team Assistant to join us at an exciting time for Ably. We’ve just landed a big series B fundraise, and now more than ever, we need to be in good shape on the organisational and admin front to make sure we continue to scale in the right way.

Acting as our organisational expert, you will enable our CEO, Matt and the wider executive team. Your responsibilities will range from diary and inbox management to assisting in planning and executing leadership events. The role is varied and fast-paced so you’ll need to be adaptable and organised to make sure the executive team’s time is maximised and effective.

We’re a remote-first company, so you’ll need to be a great communicator, and comfortable using the systems and tools that typically come with working that way, such as Slack and video conferencing.

Day to day, you will:

  • Enable the CEO and the wider executive team

  • Get diaries and calendars in order, responding to fast-evolving business needs, making sure days run as smoothly as possible

  • Organise meetings, calls, lunches and executive team events

  • Support meeting preparation; agenda and pre-reading distribution, presentation documents, and taking minutes where applicable

  • Communicate with candidates, internal and external stakeholders

  • Managing inboxes and sending responses

  • Support with task prioritisation

  • Book travel arrangements

  • Drive and manage projects that continuously improve how we do things

  • Acting as the point of contact among executives, employees, clients and other external partners

  • Format information for internal and external communication – memos, emails, presentations, reports

  • Support with ad-hoc projects and research

  • Help drive relationship management for the execs with key customers, prospects, industry thought leaders, and Ably staff by keeping track of relationship status, and encouraging engagement periodically

It would be great if:

  • You have experience in a similar PA role at Executive level

  • You are comfortable working at pace

  • Confidentiality is a must– this role is party to highly sensitive information, which is important in both protecting our employees and our business

  • You are an excellent communicator with the ability to interface regularly with internal & external personnel at all levels (face to face, by email and telephone)

  • You are proactive, with an ability to effectively manage expectations and manage openly/upwards to ensure alignment with all relevant stakeholders

  • You have meticulous organisation skills and the ability to prioritise when working to tight deadlines and under pressure

  • You have business and commercial acumen

  • You are responsive and flexible to business needs

  • You have excellent written and verbal communication skills, with an ability to be succinct and to the point

  • You are punctual, professional and trustworthy acting with a high level of discretion at all times

  • You are a team player with a positive and proactive attitude

  • IT literacy across a variety of tools; experience in Google Suite is advantageous

  • You will have a hands on approach, flexible attitude and able to work as part of the wider team to ensure a consistent approach to ways of working and process improvement
